Challenge

MAPMC was struggling with time tracking and scheduling systems that were not coordinated and could not integrate data into their payroll system. They were spending up to 20 hours a week processing payroll alone. Also, they were not getting full productivity from their CRNA’s due to lack of visibility into overtime and under-time utilization.

Solution

MAPMC integrated OpenTempo’s time tracking and scheduling solution with their existing payroll system. This freed up 12 hours of payroll processing time each week, significantly reduced under-time, and created more evenly balanced CRNA work schedules.

Results

  • Payroll management time reduced from 20 to 8 hours per week.
  • CRNA productivity increased due to reduction of under-time.
  • Workloads now balanced due to availability of real-time data.

Anesthesia Practice Decreases Payroll Processing Costs and Improves CRNA Productivity

Located in Fort Myers, Florida, Medical Anesthesia and Pain Management Consultants (MAPMC) is made up of 24 MD’s and 56 CRNA’s, and provides services to three local hospitals and a surgery center.

Prior to implementing OpenTempo, their anesthesia scheduling solution could not merge the schedules of their anesthesiologists with that of their CRNA’s, creating a great deal of redundant effort. Moreover, as their stand-alone time tracking software was not integrated with their scheduling, they also had to manually enter their data into their payroll system.

As a result, clinical staff productivity could only be measured after the fact, and they were losing productive payroll staff time due to the labor-intensive processes necessary to make their disjointed systems work together.

Workload Management

Historically, due to seasonal fluctuations in OR case load, MAPMC has guaranteed their CRNA’s 40-hour work weeks.

Yet, with scheduling and time tracking systems that did not work together, they were never able to proactively balance workloads to better manage under-time and overtime of their CRNA’s.

OpenTempo has saved us a significant amount of time and hassle. The difference is night and day.

At best, their process was inefficient and time-consuming. At worst, it caused them to needlessly spend money on non-worked hours, since it gave them no way to see staffing imbalances in advance.

Running their payroll was equally challenging.

Payroll Blues

MAPMC runs payroll for their CRNA’s every other week … but they calculate payroll data every week. As their time tracking system was not integrated into their payroll system, they were spending 20 hours per week processing their payroll and validating the data.

As national payroll vendors proved unable to cope with the nuances of CRNA payroll, MAPMC went looking for a better approach.

Integrated Anesthesia Staff Scheduling & Time Tracking

OpenTempo immediately set about integrating their systems. To automate time tracking, time clock kiosks were installed to work in conjunction with OpenTempo’s advanced staff scheduling solution. Then, a custom interface was written to allow MAPMC to import their data directly into their payroll system, accommodating the nuances of the CRNA payroll, including pay variations based on level of call.

MAPMC Anesthesia Scheduling with OpenTempo

By integrating all three systems – time tracking, scheduling, and payroll – MAPMC was able to identify scheduling disparities in real time. This allowed them to place staff forecasted for under-time into additional cases, while relieving staff who were forecasted for overtime. Staff were able to work closer to their scheduled hours and costs for non-worked time were reduced.

Saving Time and Money

By switching to OpenTempo, MAPMC decreased payroll processing costs and reduced CRNA under-time. In addition, they were able to free up existing payroll and accounting staff for other projects.

Time saved. Money saved. Problem solved.
